Rephrase To Clarify Statements

Product users, business associates, developers, and designer all have expert terminologies, differing language proficiencies, deep accents, and phrases that make it difficult to understand. Assuming what is said and not taking the time to clarify will negatively impact your thinking and design.


To ensure clarity, vocally rephrase statements back. Using methods to translate statements will help with understanding.


Simplify

When a complex statement is made, rephrase with less amount of words and replace unfamiliar words with simple terminologies.

To rephrase what you just said so that I understand, (simplified rephrase).
In simple terms, (simplified rephrase).

Analogy

When a complex statement is made, rephrase with an analogy, metaphor, or simile.

(Complexity) is like (analogy).
(Complexity) is a (metaphor).
(Complexity) is as (adjective) as a (noun).

Related situation

When a complex statement is made, rephrase with a related situation or topic that you've previously experienced or discussed.

This is similar to the time we (situation).
This is exactly like (topic) where it (similarities).

User perspective

When a complex statement is made, rephrase with an Agile user story or problem statement.

As a user, I want to (action), so that I can (reason).
(Person) is having difficulty with (problem), which can be solved by (solution).

Visual guide

When a complex statement is made, rephrase by drawing it out or referring to a visual example.

  • UI sketches or graphs

  • Related product examples

  • Related competitor examples


Summary

  • Listen, understand, interpret, then rephrase vocally
